What's the difference between an account, company, filing, and payer?

Your BoomTax account, company workspace, filing, and payer each serve a different purpose. Knowing the difference helps you choose where to add data and who should have access.

Term What it means
Account Your individual BoomTax login. Team members use their own accounts rather than sharing a password.
Company A shared workspace for your team, roles, company filings, and billing. This is different from the legal business listed as the payer on a tax form. Company access must be enabled for your account.
Filing A collection of forms for a payer, a form type, and a tax year. For example, Example Services' 2025 1099-NEC forms are a different filing from its 2025 W-2 forms.
Payer or issuer The person or legal business issuing the forms. Its name, address, and TIN belong in the payer or issuer section of the filing. W-2 forms use employer information.
Recipient The person or business receiving a form, such as a contractor or employee. Recipient TINs are separate from the payer's TIN.

Can one account handle multiple payers?

Yes. You can manage filings for multiple legal businesses under one account. Create the appropriate filing for each payer, form type, and tax year. A company workspace can also hold filings for multiple payers, with access controlled by team roles.

An account belongs to one company workspace at a time. You do not need a separate workspace for every legal payer.

Example

A payroll preparer can use one account and one company workspace to manage Example Services' 1099-NEC filing and Example Market's W-2 filing. Each filing keeps its own payer or employer information and recipient forms.
