Manage company roles, permissions, and filing access
Company roles control what a team member can do and which company filings they can access. Open Account > Company to manage your team. You need the appropriate company management permission to change roles or access.
Built-in roles

Built-in roles cover all company filings. Use a custom role when someone needs different permissions or access to only certain payers or filings.
Change a member's roles
- On the Company page, select Manage access. If advanced access has not been set up, select Set up advanced access and follow the prompts.
- In People, select Manage roles for the person.
- Select their roles and select Save member access.
Roles add together. For each filing, a person gets the combined permissions from all applicable roles. Adding Viewer does not remove edit access granted by Member. Remove or change the broader role if you need to reduce access.
Create a custom role
- In the Access workspace, select New role.
- Enter a Name and optional Description.
- Choose a Permission level, or open Custom permissions and select individual permissions. These include viewing forms, downloading, exporting, editing, importing, and e-filing.
- Select Save Role.
Selecting a permission level replaces the current permission choices. You can only grant permissions you hold yourself.
New roles start with all filings. Set the filing scope before assigning a role intended for limited access.
Limit a custom role to certain payers or filings
- In the Access workspace, use a business unit containing the payers or individual filings the role should reach. A company Owner can select New business unit to create one.
- Find the role in Role assignments and select its Edit button to open Filing access.
- Choose Specific business units, select the units, and select Save filing access.
- Use the person's Manage roles control to assign the role.
A payer selection can cover that payer's current and future filings across years. An individual filing selection covers the chosen filing. Review the scope descriptions before saving.
Limiting a role to business units removes its company-wide permissions. Also check the person's other roles: an all-filings role can still grant broader access.
If a control is missing or a permission cannot be selected, ask a company Owner or Manager to review your access.
